We have created a reporting feature that will allow you to easily see groups of locks in certain statuses all at once. The intent of this feature is that you, as a property manager or company owner, can add any required fees to your tenants if you so choose. All locks for a facility that are in Returned to Dropbox status will show up in the current report.
For example: You have put a lock on a delinquent unit. That lock is then returned when your tenant pays their bill. If you are running an unmanned facility, the Returned to Dropbox status is more of an assumption however because the tenant must put the lock where you indicate. If that lock is not there and not on the tenant's unit when you gather them, then the lock is Lost. Now you want to recoup the cost of that lock somehow, so you might add a lost lock fee to the tenant's account.
From the dashboard, click the Reports tile in the middle of the screen. You will see a screen similar to:
Start by selecting the Facility at the top left that you want to see the reports for. Then, for each lock in the report, do the following:
1. Is the lock in the dropbox? If yes, click Available for that lock.
2. If no, is the lock on the Previous Assignment unit number? If yes, then click Tenant using Lock if you want to keep it on the unit. You can also remove the lock and click Available.
3. If no and you can't find the lock anywhere else, then it is lost. Click Lost.
4. If the tenant has let you know that they can't remove the lock, then it might be damaged. Click Damaged.
Once all locks have been examined, you can email the report to a user in your account. In general, this would be either a property manager or an accountant.
There will be up to four tables in the email, one for each status from the report. You can do whatever you'd like with the information. For example, for lost locks you can add a fee to the tenant to recoup the cost of the lock. For locks being used by tenants you can add a lock rental fee until they return it.
